This Privacy Policy explains how Softnite and its affiliates ("Softnite," "we," "us," or "our") collect, use, and protect your data when you use our suite of online business collaboration software and services (the "Services"). As a company that offers services to help you run your business, we understand the importance of your privacy and are committed to protecting your personal information.
By using the Services, you consent to the data practices described in this policy.
1. Information We Collect
Most of the personal data we collect is directly provided by you when you register for and use our Services. Other data is collected by recording your interactions with the Services.
- Account & Contact Data: When you register for an account, subscribe to a service, or fill out a contact form, you voluntarily provide us with certain information, which may include your name, company name, email address, phone number, and postal address. We never record or store credit card information and rely on trusted, PCI-DSS-compliant third-party payment processors.
- Job Application Data: If you apply for a job, we collect your contact information and any information you choose to share in your introduction letter and CV. We will not collect any sensitive information not necessary for the recruitment process, such as racial or ethnic origin, political opinions, or religious beliefs.
- Browser Data: We passively record certain information sent by your browser for statistical, security, and legal purposes. This includes your IP address, the time and date of your visit, the pages you access, your browser version and platform, and the referring web page. We also use cookies to store your session data and customize your experience (see Section 8 for more details on cookies).
- Customer Databases: When you subscribe to our cloud services, any information you submit or upload into your personal database (e.g., employee lists, customer contacts, messages, and files) is your own. We only collect and process this information on your behalf, and you always retain ownership and full control of this data.
- In-App Purchase (IAP) Transaction Data: When you use optional IAP services (e.g., for sending SMS or letters), necessary transaction data is transmitted to Softnite and communicated to third-party services to execute the service.
2. How We Use Your Information
We use the collected information for the following purposes:
- To Provide Services: We use your Account & Contact Data to provide, maintain, and improve our Services, to respond to your requests, and for billing and account management.
- For Marketing and Communication: We may use your contact information for marketing and communication purposes, but our messages will always include a way for you to opt out.
- For Security and Service Improvement: Browser Data is used to maintain and improve our Services, analyse service trends, and for security purposes, such as preventing abuse.
- To Process Customer Databases We process data in your customer databases solely on your behalf and based on your explicit instructions to perform the services you have subscribed to. Our staff may access this data in a limited manner for support, security, or legal reasons..

3. Accessing, Updating, or Deleting Your Personal Information
You have the right to access, update, and delete your personal information.
- Account & Contact Data: You can access and update your data at any time by logging into your account. To permanently delete your account, you can contact our Helpdesk. We will take reasonable steps to delete your data, except for information we are legally required to keep.
- Customer Database: You can manage and delete data in our hosted databases using your administration credentials. You can also export a complete backup of your database or request its deletion via our control panel.
4. Data Retention
We retain your personal data only for as long as necessary to full fill the purposes for which it was collected, as outlined in this policy, or as required by law.
- Customer Database: Your data is retained for last 3 years. If a subscription is cancelled, your database is deactivated for a grace period of 4 weeks and then destroyed.
5. Third-Party Service Providers / Sub processors
We rely on third-party service providers to support our operations. We ensure that these providers use your data in compliance with data protection legislation and that their processing is limited to our specific purposes under a data processing contract.
Sub processors (Data is hosted here):
- Amazon Web Services, Inc.: These providers offer infrastructure and hosting for Softnite.in, Softnite SaaS, and other services, including customer databases and backups. The data centres hold various certifications
Third-Party Processors and Controllers (Data is shared for specific services):
- Payment Processors (Razorpay): For processing payments. We share order details.
- Acuity Scheduling: For scheduling demos, we share the personal information you enter in the scheduling form.
6. Third-Party Disclosure
Except as explicitly mentioned in this policy, we do not sell, trade, or otherwise transfer your personal data to third parties. We may share aggregated or de-identified information for research purposes or to discuss trends.
7. Policy Updates
We may update this Privacy Policy from time to time to clarify it, reflect changes to our Services, or comply with legal obligations. The "Last updated" date at the top of the policy indicates the last revision without any notification.
